Board Descriptions

Worship & Music Board

 

Objectives:

  1. The Worship and Music Board shall have oversight of everything pertaining to congregational worship.
  2. The Board will assist the Church Council in seeing that the services in God’s house are conducted regularly and in accordance with the liturgies accepted by the ELCA.

 

Responsibilities:

        General

  1. Suggest and initiate plans for improving the worship service (such as hymns).
  2. Assist in securing organist, choir directors, and instrumentalists.
  3. Supervise the organization and promotion of choirs and maintain communication with choir members.
  4. Seek methods of improving the music program of the Church in conjunction with the organists and choir directors.
  5. Assist in identifying the training of communion assistants and lay readers and oversee the scheduling of these individuals.
  6. Maintain all musical instruments, keeping them in tune and in excellent repair.
  7. Maintain and train people for radio Sundays
  8. Arrange for pulpit supply, as needed.
  9. Maintain the hymnals and replace as necessary.

 

        Sacristy

  1. Coordinate the altar guild, including ordering supplies, and the recruitment and training of members.
  2. Coordinate memorial flowers.
  3. Establish a system for ordering communion supplies, i.e. bread, wine, wafers, communion cards, etc.

 

        Ushers

  1. Appoint Head Usher and assist in recruiting and providing instruction for all ushers.
  2. Publish guidelines for the ushers in the Congregation’s annual report.

 

        Acolytes

  1. Assist Christian Education Board with the recruitment, training, and scheduling of acolytes.
  2. Maintain candlesnuffers.
  3. See to the regular sizing, ordering and cleaning of acolyte robes.

Nurture and Fellowship

 

Objectives: 

  1. Oversee the Shepherd Ministry and other efforts to assist the pastor in the nurturing of the congregation.
  2. Recruit members to provide and publicize fellowship activities for members and visitors.

 

 Responsibilities:


  Shepherding Ministry:

Work with Social Ministry and WELCA with coordinating prayer chains and personal visits to those in need.

  

Fellowship:

  1. Organize the Lenten and Advent meals to include preparing, serving, and clean-up.
  2. Prepare, serve, and clean-up refreshments for confirmands, parents, and guests on Pentecost Sunday.
  3. Prepare and serve refreshments after the Children’s Christmas program.
  4. Prepare, serve, and clean-up refreshments for high school seniors, parents, and guests at a designated Sunday in May.
  5. Provide additional activities, as needed, such as refreshments after church service for new members, sponsoring “invite a friend” Sunday, Christmas downtown, etc.

Youth Board

 

Objectives: 

  1.  To involve the young people of the congregation in the work of Christ and His Church
  2. To provide for their spiritual growth and nurture.
  3. To promote genuine Christian fellowship for the youth of the congregation.

 

 

Responsibilities:

 

Congregational Events

  1.  Promote attendance and involvement of the youth in all congregational functions, as well as in all youth activities.
  2. Direct and coordinate all youth activities of the congregation, not covered by other committees.
  3. Secure adult advisors for youth groups.  Youth ministry should be part of an outreach within the church and also within the community.
  4. Work with other committees in promoting the participation of young people in the total life and ministry of the congregation.  Involve Youth Ministry in Synod functions.
  5. Help youth and adults better communicate and relate to each other.

 

  Conference/Synod/Regional Events

  1. Help the congregation enlarge its vision as to the forms of Youth Ministry.
  2. Keep abreast of changing trends in Youth Ministry in order to recommend and initiate needed changes.
  3. Secure and provide training for adult workers with youth.

Evangelism Board

 

Objectives: 

  1. Take the Gospel to the unchurched of the community.
  2. Encourage Lutherans and other Christians moving into the area to unite with our congregation.
  3. Seek out and witness to people who have become inactive in their own churches, inviting them to faith, worship, and service.
  4. Enlist all members in the work of spreading the Gospel and sharing of the Christian faith.

  

Responsibilities:

        The Congregation

  1.  Foster a climate of evangelism that encourages congregation members informally and spontaneously to share Christ with one another.
  2. Work with the pastor to oversee the entire program of proclaiming the Gospel to all people.
  3. Promote a loving and welcoming congregation.
  4. Utilize the evangelism potential of The Lutheran.
  5. Provide greeters at all worship services.

  New and Old Members

  1. Be genuinely concerned for those moving into the community and for those moving into other areas.  Use any means available for maintaining such contacts.
  2. In conjunction with the pastor, schedule and plan Pastor’s Classes and encourage prospective members to attend.
  3. Be responsible for the maintenance and follow-up of a prospect file and follow-up on all visitors.

Christian Education Board

  

Objectives:

  1.  Be responsible for the Christian nurture and education of children, youth, and adults.
  2. Establish objectives, select curriculum in consultation with teachers, and supervise educational programs, including Sunday School, Vacation Bible School, and other educational opportunities.

  

Responsibilities:

 

Sunday School

  1. Foster a  Christ-centered program of Christian Education at St. Paul Lutheran Church.
  2. Organize and supervise the Sunday School, including the recruitment of teachers as needed.
  3. Provide for the training of leaders in the education curriculum of the Church.
  4. Promote Rally Day to begin the new Sunday School year.
  5. Encourage home devotions by providing devotional materials for families.
  6. Recognize teachers each year with an appreciation event.
  7. Maintain a craft room to provide supplies for teachers.

 

Vacation Bible School

                Provide an educational and recreational week of Vacation Bible School during the summer.

 

First Communion

                Provide for First Communion instruction and recognition.

 

Confirmation

  1. Provide for catechetical instruction.
  2. Assist in the recruitment of guides, musicians, parents, and others that benefit this program.
  3. Evaluate and recommend candidates to be confirmed to the Church Council after a proper interview.
  4. Assist Worship & Music Board with the recruitment, training, and scheduling of acolytes.

Social Ministry Board

 

Objectives:

The Social Ministry Board shall encourage all members of the congregation to reach out in Christian love and compassion in the church family, the community, and the Church-at-large.

  

Responsibilities:

 

        Our Church Family

  1. Send cards to the sick and bereaved and encourage hospital and home visitations.
  2. Remember the elderly and shut-ins with birthday cards, visits, Christmas cheer, and recognition at special times like Mothers’ Day and Fathers’ Day.
  3. Assist shut-ins and others in need, by providing telephone buddies, transportation, and respite for care-givers, etc., including at Christmas.
  4. Nursing home services.

 

        The Community

  1. Serve as the liaison between St. Paul Lutheran and the Harvest Food Pantry.
  2. Identify, publicize, and assist the needs of social agencies and organizations in Cut Bank and Glacier and surrounding counties.
  3. Spearhead or assist with community-wide projects which foster Christian ideals.

 

        The Church-At-Large

  1. Keep before the congregation the need for contributions to the World Hunger Appeal, Lutheran World Relief, and similar programs.
  2. Encourage greater participation in Disaster Relief efforts through monetary gifts or work projects.
  3. Assist our home “mission” churches.

Stewardship


Objectives:

  1.  Encourage members of the congregation for the work of Christ’s Kingdom.
  2. Initiate programs for the development of good stewardship attitudes in the members of the congregation in regard to time, talents, and treasures.
  3. Develop a year-round program of dedicated, proportionate giving to ensure the financial stability of the congregation and its work.

 

Responsibilities: 

  1.  Study and become familiar with the scriptural principles regarding the total stewardship called of all Christians in all aspects of life – at home, at work, and in the community.
  2. Maintain a program (annual Time/Talent Sheets) to discover and enlist the talents of all members in the total ministry of the church.
  3. Promote stewardship throughout the year with temple talks, bulletin inserts, and letters for information.
  4. Promote the every member response drive – proposal budgets, sending to members pledge cards and time/talent sheets, and recruit personnel for follow-up .
  5. Work closely with Finance Board.

Finance Board

 

Objectives:

  1. Propose an annual budget to the Congregation council based on board requests and congregational needs.
  2. Project anticipated income.
  3. Monitor the budget throughout the year, once it is adopted.

  

Responsibilities:

Work closely with the Stewardship Board.

 

        Budget

  1. Prepare and draft a budget for the succeeding year.
  2. Submit a draft budget to the Congregational Council and later to the congregation.
  3. Annually review the budgeting procedures of the congregation in conjunction with the Treasurer and recommend to the congregation any necessary improvements or revisions.

 

        Financial Affairs

  1. Exercise oversight of all financial affairs of the congregation to make sure that they are being conducted efficiently, giving particular attention to the prompt payment of all obligations.
  2. Be responsible for the congregation’s investments and its total insurance program.
  3. Monitor total obligations incurred and advise the congregational Council if obligations could potentially exceed the spending limit as set forth in the budget.
  4. Screen all appeals for funds (Synod, ELCA, community agencies, congregational committees, etc.) and make appropriate recommendations to the Church Council.

 

        Offerings

  1. Provide for the counting and deposit of the weekly offerings.
  2. Prepare offering envelopes.

Property Board

 

Objectives: 

  1. See to the procurement, installation, proper maintenance, and repair of church property and the general protection of the congregation against loss or damage of any nature.
  2. Preserve and maintain the heritage of the congregation.

 

Responsibilities:

  1. Make an annual inspection of church properties and equipment.
  2. Oversee all purchases, repairs, replacement of church property, and equipment as directed by the Church Council.
  3. Update all office equipment as needed to ensure the efficient operation of the church office.
  4. Coordinate and monitor all custodial work performed by lawn maintenance, snow removal, and cleaning service.
  5. Enlist an annual clean-up day for the church by volunteers.
  6. Encourage an annual thorough cleaning of the kitchen and its facilities.
  7. Check and maintain sound system and carillon regularly.
  8. Training key volunteers in safety management/equipment.
  9. Maintain property rental agreements.
  10. Interface with elevator and boiler inspectors.

 

Archives

  1. Collect, catalogue, and preserve historical papers, records, photographs, worship accessories and other artifacts pertaining to church history.
  2. Establish a heritage area where our archives tell the “Life Story of St. Paul Lutheran Church” and are accessible to the congregation.
